Short Sale Document Checklist: What Every Lender Wants
Loss-mitigation departments reject packages for completeness before anyone reads them. This is the standard set, what each document has to show, and the mistakes that trigger a resubmission.

Borrower authorization form
Signed by every borrower on the note. Without it the servicer legally cannot discuss the loan with you. Include the loan number, property address, and the names of everyone authorized — agent, negotiator, title company, and attorney. Many servicers expire these after 90 days, so re-date it if the file drags.
Hardship letter
One page, first person, dated and signed. It must state what changed, when it changed, why the payment is no longer sustainable, and that the seller has no assets available to cure the default. Avoid blaming the lender and avoid vague phrasing like "financial difficulties." Specific events with dates are what get accepted.
Financial worksheet
A monthly budget showing gross and net income, every household expense, and total monthly obligations. The numbers must reconcile with the bank statements and paystubs. A worksheet showing surplus income is the fastest route to a denial, and one that contradicts the bank statements gets the whole package flagged.
Tax returns
Typically the last two filed federal returns with all schedules. Some servicers also require a signed IRS Form 4506-C so they can order transcripts directly. Self-employed sellers should expect requests for business returns as well.
Bank statements
Two to three consecutive months, all pages, for every account — including the blank final page. Partial statements are the most common cause of a "package incomplete" letter. Large unexplained deposits should be documented in advance with a short letter of explanation.
Income documentation
Thirty days of consecutive paystubs for wage earners. Self-employed sellers provide a year-to-date profit-and-loss statement plus business bank statements. Retired or fixed-income sellers provide award letters for Social Security, pension, or disability income.
Transaction documents
The executed purchase agreement with every addendum, proof of the buyer's funds or a lender pre-approval, the listing agreement, MLS activity history showing genuine marketing, and a preliminary settlement statement reflecting the proposed figures.
Arm's-length affidavit
Nearly universal now. Buyer and seller both certify there is no hidden relationship, no side agreement, and no plan for the seller to remain in possession or repurchase. Signing this falsely is mortgage fraud, not a technicality.
Lien-specific extras
Second mortgages and HELOCs run their own approval with their own document set. HOA arrears require an estoppel or payoff statement. IRS or state tax liens require a separate discharge application that can take months — start it the day title comes back.
Keeping the package current
Financial documents go stale. Most servicers require paystubs and bank statements dated within 30 to 90 days of review, so a file that sits in negotiation will need refreshed documents at least once. Track the date every document was collected, not just whether it exists.
